1. Overview
QueueVIO ("we," "us," or "our") is a product of QueueVIO LLC. This Privacy Policy explains how we collect, use, and protect information when you access queuevio.com or use the QueueVIO Universal Print API (collectively, the "Service"). By using the Service you agree to this policy.
QueueVIO is a business-to-business (B2B) service. We do not sell consumer data, and we do not engage in behavioral advertising.
2. Information we collect
2.1 Account and contact information
When you register for a QueueVIO account or contact us, we collect:
- Name and email address
- Company name and role
- Billing address and payment method (processed by our payment processor — we do not store raw card numbers)
- Communications you send to us
2.2 API and usage data
When you use the QueueVIO API, we collect and store data that is necessary to operate the Service, including:
- API requests and responses (job payloads, routing decisions, device events)
- Natural-language intent submissions sent to
/api/intents - Tenant configuration and device registry data
- Error logs, latency metrics, and request metadata (IP address, user agent, timestamp)
2.3 Automatically collected technical data
- Browser type, operating system, and referring URL when you visit our marketing site
- Aggregate page-view and session analytics (no cross-site tracking)
3. How we use your information
We use the information we collect to:
- Provision, operate, and improve the Service
- Process payments and send billing-related communications
- Respond to support requests and inquiries
- Send product updates, release notes, and security notices (you may opt out at any time)
- Monitor for abuse, fraud, and violations of our Terms of Service
- Comply with legal obligations
3.1 AI model improvement
QueueVIO's AI routing and intent-extraction features are powered by large language models. We may use anonymized, aggregated routing outcome data (routing decisions, confidence scores, and operator override signals) to evaluate and improve model performance. We will not use the content of your job briefs or customer-identifiable data to train third-party models without your explicit, opt-in consent. You may opt out of this use at any time by contacting us.
4. Sharing and disclosure
We do not sell your personal information. We share data only in the following circumstances:
4.1 Service providers
We work with trusted third parties who process data on our behalf under appropriate data processing agreements:
- MongoDB Atlas — cloud database hosting for API data
- AI inference providers — large language model inference for job intake and routing (data is processed in-transit; not retained by the model provider beyond the request)
- Payment processor — PCI-compliant card processing
- Transactional email provider — billing receipts and account notifications
4.2 Legal requirements
We may disclose data if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, prevent fraud, or ensure the safety of any person.
4.3 Business transfers
If QueueVIO is acquired or merges with another entity, your data may be transferred as part of that transaction. We will notify affected customers and the new operator will be bound by this policy.
5. Data retention
We retain account data for the duration of your subscription plus 90 days after account closure, after which it is deleted or anonymized. API event logs and routing decision records are retained for up to 24 months to support the AI training corpus described in Section 3.1; you may request earlier deletion. Billing records are retained as required by applicable law (typically 7 years).
6. Security
We implement appropriate technical and organizational safeguards including TLS in transit, bcrypt-hashed passwords, JWT-based authentication, tenant-scoped data isolation, and regular dependency audits. No system is perfectly secure. In the event of a data breach affecting your account, we will notify you as required by applicable law.
7. Cookies
Our marketing site uses only essential first-party cookies: a session cookie for logged-in users and an analytics cookie for aggregate, anonymized page-view counts. We do not use advertising cookies or third-party tracking pixels. You may disable cookies in your browser; the API itself does not rely on cookies.
8. Your rights
Depending on your jurisdiction, you may have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request correction of inaccurate data
- Deletion — request deletion of your account and associated data
- Portability — receive your data in a machine-readable format
- Objection — object to processing based on legitimate interest (including AI model improvement)
- Opt-out of marketing — unsubscribe from non-essential communications at any time
To exercise any of these rights, email support@queuevio.com. We will respond within 30 days. Users in the European Economic Area and California have additional rights under the GDPR and CCPA respectively.
9. Children
The Service is designed for business users and is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, contact us and we will delete it promptly.
10. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify active customers by email at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
